About Us
The Conrad Prebys Performing Arts Center seeks a full-time Facility Manager for the 49,000 square-foot campus, which is home to La Jolla Music Society. The Conrad, opened in 2019, houses a 500-seat concert hall, a flexible 200 seat performance area, multiple meeting spaces and a courtyard reception area, as well as the administrative offices for La Jolla Music Society.

Position Overview
The Facility Manager ensures that The Conrad is in show-ready condition for all events at the venue including those produced by LJMS and for rental events of all scales. The Facility Manager will be responsible for the appearance of the facility including and its ongoing maintenance including mechanical systems, housekeeping, grounds-keeping, and public safety.  The Facility Manager will manage various service agreements with third party vendors, as well as coordinate inspections, testing, permits, and licenses as required by law.



Requirements

Duties and Responsibilities:

  • Function as a superintendent and maintain the building and grounds of The Conrad, directing contract staff and overseeing the upkeep of architecture, equipment, and supplies.
  • Work directly with Operations staff to prepare The Conrad for each public event, including: scheduling housekeeping and security; programming the Building Management System (BMS) per the event schedule; ready the catering kitchen; ensuring all public spaces are clean and patron ready; and room set-up.
  • Establish and coordinate a small facilities team to provide coverage at all public events and for maintenance or repairs to ensure optimal coverage and minimal interruption of day-to-day functions.
  • Engage in minor maintenance, troubleshooting, programming and spot cleaning as required throughout the day to assist in addressing concerns quickly and efficiently.
  • Manage public and staff safety, including contract security personnel, camera systems, and keycard access to various parts of the building, safe egress, fire alarm, AED maintenance and training. Develop and update The Conrad’s Emergency Response Plan and Safe Egress plan.
  • Develop routine schedules for contracted (outside) employees in housekeeping, security, and building maintenance.
  • Responsible for the operations of building mechanical, structural, and electrical systems such as HVAC, architectural lighting, elevator/lifts, and plumbing, as well as determining the ongoing schedule of repairs, landscape services, renovation projects, waste management, and safety inspections.
  • Develop and implement a facility management program including preventative maintenance and life-cycle requirements for building and equipment. Contribute ideas of better practices to address the needs of LJMS and the facilities department. Advise in the budgeting process for equipment purchase and replacement.
  • Coordinate regular testing and inspections of the mechanical, hydraulic, and fire/life safety systems, and identify and remedy any potential safety hazards in public and staff areas.
  • Represent The Conrad with local authorities governing safety and building compliance.
  • Ensure The Conrad’s compliance with the Americans with Disabilities Act.
  • Maintain detailed records of maintenance and repairs, recommending preventative maintenance schedule and future repairs and replacement. Ensure that vendors are paid in a timely manner.
  • Oversee facility utilities (Gas and Electric, Water, etc.), monitoring to maximize energy efficiency and control budget.
  • Must be available to support evening and weekend events and performances, with a particularly full schedule during August for SummerFest.
  • Other duties as assigned.

Skills and Qualifications:

  • At least 3 years of experience in public facility management within a major, modern facility. A related degree or certification is preferred but equivalent experience will be considered.
  • Experience in a public event or performing arts venue is preferred.
  • Must be technically literate and familiar with Building Management Systems, building access, security camera, architectural lighting, and other computer-controlled systems. Working knowledge electrical, mechanical, plumbing and HVAC systems.
  • Knowledge and skills necessary to do simple repairs and address urgent maintenance issues.
  • Ability to read and interpret building blueprints and plans.
  • Ability to communicate effectively and professionally with people at all levels.
  • Ability to build and maintain relationships with vendors and be an initial point of contact for La Jolla Music Society.
  • Must demonstrate excellent leadership and communication.
  • Demonstrated experience in staff scheduling, supply procurement, analyzing and negotiating contracts, and budgeting.
  • Exhibit keen attention to detail and analytical skills.
  • The ability to lift and/or move up to 50 pounds on a regular basis.
  • Proficiency in MS Word, Excel, PowerPoint, Outlook, and other office applications. Experience using ArtsVision (arts management database) highly valued.

Compensation:

Salary commensurate with experience. La Jolla Music Society offers paid vacation, holiday, and sick time; parking; and contribution to a 401K account, as well as health, dental, and vision insurance coverage.
