POSITION: Stewardship Events Manager & Auxiliary Liaison 

DEPARTMENT: Development 

REPORTS TO: Director of Events

COMPENSATION: $63,000 Annually

  1. Manage stewardship events for donor groups including Legacy Circle (planned giving), Christensen Society, Allegro Circle, and Artistic Director's Council along with the annual Chairman's Council Dinner. Events may include, but are not limited to pre-curtain dinners, cast parties, open dress rehearsals, studio rehearsals, various receptions, and virtual events.

    Tasks include scheduling event space, drafting event scripts for virtual events, crafting invitations, taking RSVPs, writing event scenarios, creating timelines, requesting and confirming participation of Arts staff/dancers/Operations/Production, while also serving as primary liaison with vendors such as caterers and florists. This position will serve as the on-site event lead with assistance from both fellow Development staff and volunteers. Will coordinate volunteers for each event. Works with Graphic Design and use own design skills to create printed and electronic materials for each event.

  2. Administers ENCORE! Gala, which includes managing event ticket orders and ENCORE! membership dues, guest seating for the performance, and crafting weekly reports. Additionally, this position may manage approximately one fundraising event per year.

    Tasks include maintaining event management records with event planning timelines, budgets and invoices, vendor and volunteer correspondence, meeting notes, and printed materials. Assists Director of Events in developing, monitoring, and analyzing revenue and expense data for each event.

  3. Serve as liaison for SFB Auxiliary, including booking meeting spaces on site, helping with A/V and phone services at on-site meetings, fielding queries from members, and assisting with donation-related inquiries. Sending out solicitation letters and communication. Additionally, managing their annual giving and Tessitura accounts.



  • Coordinates with Production, Operations, School, and Artistic to plan the full stewardship events calendar for the following fiscal year.
  • Coordinates with Annual Giving, Legacy Circle, Allegro Circle, ENCORE!, and Special Events teams on the planning and logistical management of cultivation and stewardship events.
  • Works within Tessitura to build and manage Elevated Events and Activities. Creates extractions and oversees invitation promotions in Tessitura.
  • Works with Marketing to create and update event and donor website pages. Contributes to marketing communication materials including eblasts, program books, and social media outlets.
  • Oversees delivery, cataloguing, and inventory of donated products used for events, such as wine, water, and food.
  • Works with Graphics or uses own design skills to create event materials such as invitations, signage, event order forms, and menus.
  • Manages all incoming ENCORE! Gala ticket orders by processing gifts and creating weekly purchase reports leading up to the event.
  • Attends and maintains responsibilities at events including check-in.
  • Assist and/or train BRAVO volunteers with event tasks such as check-in. Also coordinates all volunteers for each assigned event.
  • Creates budgets and weekly reports for assigned fundraising events.
  • Crafts invitations, email communication, event timelines.
  • Coordinates with all vendors and participating departments for each event and serves as the primary liaison. This includes delivery of wine, coordinating sound equipment, space set up, rentals, catering, etc.
  • Organizes with Artistic and Operations to bring in Artistic guests to speak at and/or attend events
  • Coordinates with Auxiliary members chairing events

Auxiliary Liaison

  • Manage scheduling of meeting spaces for Auxiliary. Serves as main point of contact for Auxiliary fundraising initiatives including the annual raffle, the holiday stroll, and others, as necessary.
  • Ensures that contact information is up to date and program names are listed correctly for each event and program.
  • Send out all communication to members including parking and upgrading their annual giving, etc.
  • Manage the entire portfolio of Auxiliary members (there are about 61 Active members in total, a portion of which are assigned to other solicitors' portfolios).
  • Uploading and updating all their donor plans, which includes connecting each gift that applies to their membership level within the Tessitura database. Ensuring membership levels are up-to-date and correct.

  • Perform other duties as required or assigned by supervisor

  • Patrons/donors, volunteers, vendors, prospects.

Education Level and Focus

  • College degree or commensurate experience in catering, hospitality, and/or fundraising.

Years and Type of Experience Required

  • 3+ years in events, catering, hospitality, and/or fundraising.

Professional/Technical Competencies 

  • Must be highly-skilled in customer service, have a strong attention to detail, and be calm under pressure. Knowledge of Tessitura (preferred) or other customer relationship management database. Knowledge of Zkipster (preferred) or other event management platforms. Knowledge of Excel and ability to use formulas.

Physical Demands

  • Extended work hours with considerable amounts of typing and word-processing, and telephone work. Evening and weekend work required on event days as well as the potential to work on a holiday (MLK Day).
  • Position requires the ability to work and stand for long periods of time during evening events. Occasional lifting (40 lbs.).

Special Equipment Used

  • PC (Microsoft Office Suite, Tessitura, zkipster) and standard office equipment, such as copier.
