Job Summary:  Oversee all aspects of accounting including A/P, A/R, general ledger, payroll, and human resources for an organization with a 3.5 million annual operating budget.

Responsibilities

Finance:

  • Manage and oversee all financial operations.
  • Maintain proper checks and balances; supervise control procedures.
  • Prepare financial reports as needed.
  • Review all expenditures, including purchases, cash, credit cards, and check signing.
  • Review cash/check daily cash reports including revenue via credit cards.
  • Monitor and forecast properly segregated cash balances to meet obligations.
  • Prepare the annual operating budget and revisions of operating budgets with assistance from ADF departments.
  • Prepare grant budgets.
  • Prepare financial reports, interim and final, for all grants.
  • Develop new policies as needed and present to Executive Director.
  • Work with Treasurer and Finance and Audit Committee.

Accounting:

  • Manage accounting software.
  • Supervise all financial records including accounts payable, accounts receivable, and general ledger.
  • Oversee reconciliation of monthly bank statements.
  • Review investment reconciliations and journal entries.
  • Ensure financial and tax compliance with GAAP and FASB guidelines.

Board and Finance/Audit Committee:

  • Prepare all financial information for board meetings.
  • Attend quarterly RBC Investments meetings with Finance/Audit Committee and Executive Director.

Audit:

  • Works with ADF auditors on preparing and gathering needed documents for annual audit and 990.
  • Prepares all confirmation letters and bank confirmations.
  • Gathers support documents for auditors.

Human Resources:

  • Implement and manage employee benefits.
  • Manage the Staff Handbook and oversee the Summer Staff Policies and Guidelines.
  • Manage onboarding and compliance for new and departing employees.
  • Oversee timesheet approval.
  • Implement and process all payroll for staff including summer staff.

Seasonal General Duties:

  • Prepares summer contracts and financial paperwork and sends out to summer staff.
  • Prepares financial information for faculty and musicians and processes all payments to them.
  • Oversee Duke University parking permits.
  • Responsible for background checks and Duke Minors training.
  • Supervises the preparation of daily checks during summer season.
  • Reconcile Duke University summer bill with support from school administrator.

Requirements

Preferred Qualifications/Skills:  BA in accounting or related financial field with at least two years relevant finance and accounting experience in a nonprofit performing arts or cultural organization. Demonstrated success in communicating effectively both orally and in writing. Experience leading a comprehensive budget process and supervising staff. Must be able to multitask, handle pressure, be detail-oriented, responsible, and able to work independently.
